I. Brief executive summary of the Internship:

This is the internship report based on the two-month internship duration that I completed in VNPT DongThap under the Human Resource Division from 18.06.2018 to 31.08.2018 as a requirement of my Undergraduate program in the Department of Business Studies, International University, VNU-HCM.

Throughout the internship, I had a chance to work in VNPT Dong Thap. VNPT Dong Thap is a provider of telecommunications services – information technology in Dong Thap. They are serving thousands of customers and have become close friends of many families, businesses, companies as well as governmental and social organizations in the province. Their communication solutions have contributed to the success of business enterprises, and provincial economic development and make good things for life.

During the internship, I have been assigned to work in the Human Resources Division of VNPT Dong Thap, for most of the tasks I had been offered are to learn about the new management software (HRM), the operational structure of the company, help managers to reorganize the files, sorting these documents and input the data into the HRM software.

This report includes brief information about VNPT Dong Thap, what are the possible divisions and work distribution in each division, what are the main tasks during my internship. In addition, my personal views about the Human Resources Department and my assessment of the internship are also included in the report.

II. Description of the company:

1. Brief history:

VNPT Dong Thap is a member of the Vietnam Posts and Telecommunications Group and is a subsidiary of the group. VNPT Dongthap was officially established on 1st January 2008 and it was separated from the Dongthap post office in the same year. VNPT Dongthap provides a full range of telecommunication and information services in the province such as:

  • VinaPhone, 3G, 4G mobile phone service.
  • High-speed Internet service MegaVNN, FTTH high-speed Internet.
  • Leased line service, data transmission.
  • Internet TV service MyTV.
  • Phone service, GPhone.
  • Consulting, design, implementation, and maintenance of telecommunications.
  • IT products and services,
  • Integrated solutions.

Since 15/10/2015, VNPT Dongthap has been divided into 2 units:

  • VNPT Dongthap: which has the main mission to build and develop the IT network infrastructure in the area.
  • VNPT Vinaphone: which is operated under the VNPT business center and the main missions are to sell and provide services to customers in the province.

7. Function and mission:

· Management Unit:

  • Includes 3 function rooms and 02 management centers.

a. . Human Resources & General Department:

There are 03 divisions with the following functions and tasks:

  1. Administrative division: Ensuring the administrative, and general activities of provincial telecommunications; Carrying out administrative procedures, administration activities, and external procedures; Synthesis, emulation, tradition; Inspection, legislation, defense, and security. Perform other tasks as assigned by leaders of departments and the board of directors.
  2. HR division: Ensuring labor and personnel activities of provincial telecommunications; Carrying out the procedures of organizational structure and personnel organization; In charge of salary, bonus, welfare, safety and hygiene, and labor protection; Educate, training, and Building organizational culture; Carry out other tasks as assigned by the leaders of the department and board of directors.
  3. Planning division: Manage production and business plan, BSC unit, and full telecommunications in the area; Prepare, monitor, synthesize, and report production and business plan, BSC plan; Assist the Leader in business supervision; Summarize and report to the chief representative; Perform other tasks as assigned by the leaders of the department and board of directors.
  4. Market development division:

Develop the information services market in the area. Increase investment cooperation or business cooperation with investors.

Speeding upmarket development, investment cooperation, and business coordination; Developing the market of IT telecommunication services with state agencies and organizations in the area; Collaborate with VNPT Vinaphone Business Center to seek, negotiate, sign contracts and deploy investment, provide telecommunication and IT services of VNPT to investors in the area.

b. Planning-Accounting Department:

Carry out the accounting standards of VNPT such as:

  • Carry out accounting procedures corresponding with standards for units and parts in the area accordant with the Law on Accounting and guiding of the Group;
  • Monitor / supervise the implementation of accounting standards;
  • Supervise capital and procurement projects;
  • Carry out Enterprise Risk Management tasks;
  • Perform other tasks as assigned by the board of directors.

c. Technology and Investment Department:

  • Implement investment procedures for procurement, and repair of equipment;
  • Appraisal of procurement and repair work;
  • Implement and control the investment procedures for construction, and develop the network technical infrastructure of the unit according to the process and guidance of the Group. Reporting according to regulations;
  • Formulate, monitor, synthesize and report the capital plan, and economic and technical norms of the unit according to the process and guidance of a board of directors and the Group;
  • Infrastructure lease: sewer tunnel, power poles, BTS …
  • Perform other duties as assigned by the board of directors.

d. Information Management Center:

The Information Management Center is organized into 3 teams: the General team, Technical team, and Exploitation team have the following functions and tasks:

  • Core network management; telecoms operation; network quality management; ensuring the information rescue in the province.
  • Managing, operating, and exploiting core network systems: switching, transmission, broadband, and mobile;
  • Performing the installation and transfer works; maintenance, rescue network, infrastructure, and auxiliary equipment;
  • Monitor and control the quality of network infrastructure, quality of service delivery to customers
  • Management of technical planning, technical procedures, and regulations according to the technical regulations of the State, VNPT in the field of telecommunications;
  • Operate and manage operations of CODAN short-wave radio network, switchboard 1, manage and exploit centralized monitoring systems;
  • Installation, operation, and maintenance of the video conferencing system;
  • Perform other duties as assigned by the board of directors.

e. Information and Technology Center:

IT Center is organized into two teams: Network Management Team, Service & Programming Team, which have the following functions and tasks:

  • Development/implementation of IT applications/services in the province; ensure security, and information security for activities in the area.
  • Developing/deploying IT applications and services of the Group, units for customers in the province;
  • Participate in deploying IT applications/services of the Group to customers nationwide upon request;
  • Implement computer network management in the province;
  • Implement the procedures, actions to prevent and rescue, recover information under the guidance of the Group;
  • Perform other duties as assigned by the board of directors.
  • Manufacturing Unit:

The manufacturing unit consists of 11 districts, and city telecommunication centers, each telecommunication center is organized into two divisions: the general team and the technical team have the following functions and tasks:

  • Manage, operate and deploy the off-shore network and access network in the province and ensure good quality service for the customers.
  • Coordinating with PBH to forecast customer needs, develop appropriate and effective network plans, and ensure competitiveness and sustainable development.
  • Organizing, installing, repairing, and providing Telecoms-IT products and services; Coordination with PBH in CC and organizing effective business in the same area.
  • Perform other tasks as assigned by the board of directors.

III. Internship Activities:

During the internship period, I had been assigned to work in the HR department of the company, most of the tasks I have been offered were to learn about the new management software (HRM) and upload employee information into the new software for the company. Also, as a result of the reorganizing of the company’s structure, the corporation has created a new HRM application for all of the members, so it will help to create and change the way of using the employee tracking system more efficiently.

1. About the HR division:

The main missions of the HR division are to ensure labor and personnel activities of provincial telecommunications; to carry out the procedures of organizational structure and personnel organization; In charge of salary, bonus, welfare, safety and hygiene, and labor protection; Educate, train and Building organizational culture; Carry out other tasks as assigned by the leaders of the department and board of directors.

2. Introduction to the new VNPT-HRM software:

VNPT HRM helps businesses solve the difficulties in managing personnel salary:

  • Manage details of personal information, process, and history of work.
  • Reward system, fine details in each month, quarter, and year.
  • An automatic salary calculation system quickly avoids errors in the salary process. The combination of time attendance module, assessment, and insurance will ensure synchronization throughout the personnel management, salary, bonus, and labor regime.

a) Sign in:

After login, the system will display the right functions of the access. The program will automatically access the first dashboard to display the functions, the reports, or the use of each account.

b) Menu system:

The system is arranged as the interface of the picture above consists of the following:

  • Zone 1: The modules of the software system.
  • Zone 2: Functions corresponding to the selected module.
  • Zone 3: The interface of the selected function in zone 2, respectively.
  • Zone 4: Search engine, displayed to perform data search on the corresponding function selected.
  • Zone 5: The login name of the system.

3. Tasks assigned:

During the internship duration, I was assigned to check out the employee’s information and upload this information into the HRM system. The main following tasks are:

  • Fill in all required information as per instructions: personal information, family relation, education level, work history, date creation of the time sheet, departmental unit, and detailed timekeeping for each day corresponding with each employee.
  • Declare employee records and enter information related to detailed records of personnel. Include the following contents:

a) Representative information:

  • Employee name: Enter the employee name
  • Employee ID number: The system generates staff code in the order of input into the program
  • Profile code: Profile code that has been saved in a personnel filing cabinet (if any)
  • Number of labor books: Number of labor books registered with state management agencies (if any)
  • Email: Email address
  • Phone: phone number

b) Employee Information:

  • Day off
  • Contracts
  • Timekeeping
  • Paycheck

c) Detailed information:

  • Public information
  • Personal information
  • Other information
  • Insurance information
  • Salary information

Besides, I had to ensure background and reference checks are completed, and assisted the manager in updating and maintaining employment status and similar records, by that I can learn more about the company’s motivational mechanisms, salary management, insurance, and compensation

4. Performance Evaluation:

In general, the total number of employees at VNPT is 207, of which the total number of employees in the Human Resources Department is 7 and the number of managers in the HR department is 1. Taking the total number of employees in the HR department divided by the total number of employees in the company, we found that the result was less than 10%. From this, we can deduce that the performance of the HR department is very high and effective.

Specifically, in the human resources department, each employee has the following tasks:

  • 1 employee in charge of personnel management, social security, salary, welfare, etc.
  • 1 employee in charge of revenue management, cost, motivating mechanism, etc.
  • 1 employee in charge of general management
  • 1 employee in charge of collaborative management and training
  • 3 office assistants: 2 drivers, 1-word processing officer

Hence, we can see that the number of staff in the HR department is small but each employee is in charge of a huge workload with high productivity (note that the total labor force at the company is 207 with a turnover of 727 billion VND in 2017).

In addition to the positive aspects such as the professional working environment, and the friendly and qualified staff at the company, I realize that some problems should be mentioned as follows: the company was lack motivation and inspiration for employees which unintentionally created the state of being difficult and pressured at work. However, most of the staff in the company always have a positive working attitude which usually helped me adapt to the working environment easier so that I could be able to feel more comfortable at work.

IV. Internship assessment:

· What skills and qualifications do you think you have gained from the internship?

During my time at the company, I realize that I have learned a lot of things throughout the internship activities. In addition to a professional environment, friendly people, and qualified employees, I have earned a lot of benefits and was able to communicate better with other people.

The first thing I have gained is that my time management skills have improved significantly, I can clearly plan what needs to be done in a day, so I know how to organize my work more appropriately and accurately corresponding to the specified timetable.

Furthermore, my computer skills have been enhanced and I have been able to use more proficiency in both Word and excel to get things done. Besides, I can be able to adapt my flexibility and change to every situation in the company, so it will help me to adjust the stress and think slowly to turn stress into a dynamic force to complete the internship, thereby reducing some of the pressure at work.

Moreover, for most of my time at the company, I learned a lot from other employees, they gave me some advice and helped me a lot at work. They also showed me where my strengths and weaknesses were to help me enhance myself more, by that I can improve my knowledge, and my teamwork skills and collaborate better with other people.

Because my daily tasks were usually to deal with the data and documents, I often had to record the file, edit employees’ profiles, and screen this information into appropriate HR software, therefore I find that my research skills becoming better day by day. Although I am not perfect in that skills, I still see it as a good way to learn new things and expand my skills more in the future.

· What kind of responsibilities you have undertaken during the internship period?

My primary responsibility during the internship is to ensure the information privacy of each employee in the company. Because of the nature of the work, I have to deal with many types of employee documents which include personal and public information about the company. Besides, I have an obligation to organize the file, sort these resumes, and log them into appropriate tracking spreadsheets. I also supervise the progress, and deadlines and pay attention to reminders for each small project. In addition, I have to check and make sure the information of employees in the company will fit with each self-declaration record to upload them into the HRM software and save these processes when I have been asked to check again.

· How do you think the internship will influence your future career plans?

Being assigned to intern in the Human Resources Department of VNPT Dong Thap has provided me with a better knowledge of this sector. Besides, I found that I gained a lot of experience during the internship such as file arrangement, software management, timekeeper management, BC, etc. Thanks to that I know how to deal with real-life work, how to adjust to the working environment, and how to adapt to a new workplace. By that, it can help me to improve better for my future job, enhance my working experience, and familiarize myself more with the future relevant job.

· How do you think the internship activities that you carried out are correlated with your classroom knowledge?

Throughout the internship duration, I found that after reviewing the learning process at school, I think that although some courses in university do not relate to real-life work, it still prepared me with a foundation knowledge for my work in the future, that I can quickly determine what need to be learned and how to handle the job. Moreover, by working in this company, I can gain a better understanding and useful knowledge of the role that Human Resources play in reality and can be better prepared to work in the arena of the human resources sector.

V. Conclusion:

Overall, I completed my internship at VNPT Dong Thap successfully. Having a chance to intern at VNPT Dong Thap helps me to enhance my skills and improve my knowledge. Moreover, it does not only help me to learn a lot from normal office life but also gain more practical skills. During my internship period, I realize that observation is the main element that helps me to catch up with each problem and develop my skills more for my future job. Besides, I also have a good time working with many fantastic people in the company. On the first day, I felt that I had no idea where to start and I did not know how to do properly with each task assigned, they helped me to solve my weaknesses and provided advice for each of my tasks whenever I am in need.

Additionally, being able to work in a professional environment has helped me to learn more about the human resource sector, be more responsible at work, and gain more experiences for the future. But most importantly, my Internship at VNPT Dong Thap has given me a better understanding of the HR career and make connections with great people. I am very grateful and thankful to my supervisor – To Thi Bach Yen and all of the staff in the HR Department had given me this opportunity to work in this company and completed my internship. Although 2-months is not a long time for me to learn in detail about this sector, it still made my internship a superb experience.
