Lastly, some employees were reluctant to give out the required information, thus, it took a long time to gather the required information.

The writer uses an example of breast-cancer diagnosis to illustrate the benefits that can be accrued from virtual teams (Overholt, 2002) This paper evaluates the article.

Why the writer chose breast-cancer diagnosis as an example

Breast cancer has of late become a global concern as men and women suffer. There are numerous cases of breast cancer each with its own characteristics and diagnosed differently. Specialists in the field have also increased. The writer notes that in most cases doctors are willing to offer medication that they are aware of, but since breast cancer takes different forms, then a doctor may offer medication that is not the most effective for a certain condition.

When there is web interaction with other physicians and a review of past successful cases, through virtual teams, doctors will be in a position to offer better medication. Secondly the patient will understand the medication he gets its side effects and probably communicate with another medicated patient on the same.

The example was used to explain the benefits that can be accrued from using virtual teams. The choice of breast-cancer diagnosis was triggered by the effects that it has on modern life (Overholt, 2002).

Advantages of virtual teams

The writer brings out a number of advantages in the article. The most dominant advantage is information and knowledge sharing. Virtual reality works across time, space and geographical area, thus information or experience in a certain area can be shared to improve services in another organization currently facing a similar issue.

Information is power, thus when the systems are adopted, a company gets access to quality information it can use for informed decisions. Other than getting information, the information is real-time information. Updated information is crucial for decision making in the fast-changing business environments (Grenny, 2010).

Virtual teams can be adopted as a cost saving strategy. This is because experts or employees will not have to travel across nations searching for information-making. Information can be gotten by a click of a button. Operational costs are saved in teams of time, travelling and accommodation costs and reduced cost of research and development.

When a company have information about an issue it’s facing, it is able to develop alternatives and knowledge for decision-making. This results to improved quality, service delivery, and customer satisfaction (Driskell, Radtke & Salas, 003).

Suggestions for managing this virtual team

The virtual team discussed in the article is likely to suffer from lack of motivation. Physicians need to be self motivated to deliver results. One way of motivating team members is by offering a token pay every time certain work or experience of a member has been used successively. This will motivate them work harder.

Before a certain team member is absorbed, he or she should be vetted for excellence and professionalism. This can be done through verifying his qualification and experience. This will assist in building trust and confidence among members.

Virtual teams should not be used to undermine the benefits of research. They should be conducted alongside research to offer rich information and improvements on different areas (Ebrahim, Ahmed & Taha, 2009).

Conclusion

Businesses are using virtual teams to share information across time, space, and geographical area. This has resulted to better decision making and improvements of services. The method however faces a challenge in that its members lack motivation and trust among themselves.

Virtual Teams and Multiculturalism

Introduction

In this changing world, the traditional ways of doing things are being replaced with new and exciting ideas. The growth in the information technology has particularly changed many business practices.

Virtual workplaces are now possible and are increasingly becoming popular due to the preference by people to work at home and also the need for companies to outsource their work so as to minimize costs. However, managing virtual workplaces can prove to be hectic and several problems arise especially when one is dealing with a multicultural staff. As a Nike manager, I shall attempt to unlock the multicultural setup so as to achieve success in this virtual team project.

While most managers know the importance of the process of facilitation, Kimball (1997) states that very few have grappled with the realities of managing a team separated by time and distance. Nevertheless, through the available technology such as intranet, internet and groupware (referred to as distributed communication systems) innovative leaders will need to learn how to integrate their team building strategies into the virtual setting to achieve success.

Differences between virtual and collocated teams

Using Bruce Tuckman’s 1965 model of ‘Forming, Storming, Norming and Performing’ stages in team development, we can clearly ascertain the differences between these two teams (Chapman, n.d). At the forming stage where groups are being built and synchronized, there is often too much uncertainty over ‘who, what and why’ and the leader is usually called upon to exercise his authority.

In collocated teams, the process of settling down is likely to take longer since all teams must meet first, get to know each other, assess each other and finally begin debate on the issues. In virtual teams, once teams get to know each other, they immediately jump into debate and are less likely to last in the forming stage for long.

At the storming stage where team members attempt to assert themselves, collocated teams spend too much time on relationship issues and emotive issues such as occupying positions and contributing to debate. This is unlike virtual teams which settle immediately and more often than not, issues that are dealt with are substantive since members of virtual teams feel a need to be professional rather than personal. At the norming stage where the teams are largely settled and there is more consensus and social activity between members, collocated teams settle well since they will have effectively ironed out their issues at the storming stage.

However, the virtual team is more likely to dwell on this stage longer since people are yet to fully know each other and there is too much caution. In addition, the team is hindered by the overreliance on one leader.

Finally, the collocated teams are highly likely to reach the performing stage faster since they are more likely to become autonomous having gotten to know each other well and forming strong bonds which accrue from the ‘personal feel’ of face-to-face communication and physical presence. Virtual teams are less likely to reach the performing stage since the leader continues playing a pivotal role.

Challenges facing the multicultural virtual team

The problems that face cross-cultural virtual teams are related to the lack of face-to-face communication and the differences in culture. The main problems that these teams face include; communication delay where the mode of communication adapted requires feedback at a later time, fixing meetings is difficult due to different time zones and also cultural holidays, cross-cultural teams take too long before acquiring synergy mainly due to caution or sometimes cultural ‘clashes’, lack of efficient conflict resolution mechanisms, miscommunication, communication breakdown and finally, managerial problems.

How to resolve these problems

Since most of the problems are associated to culture and communication, addressing these two issues may resolve almost all problems (Buono, 2004). First, there must be mutual respect for people’s culture and there should be no attempt to force one’s culture on another person.

All members should avoid stereotyping and engaging in acts that amount to prejudice. When it comes to communication, members must first of all agree on one system of communication. There is no preferred mode since communication depends on many factors such as deadlines (would require more urgent communication methods e.g. videoconferencing or calling), time zones, members work schedule, holidays e.t.c.

When it comes to the communication itself, speakers should keep it simple, brief and concise. They should avoid colloquialisms, humor, metaphors, slang, acronyms and jargon. For writers, they should ensure that they are more descriptive, write in point/list form, consider the receiver’s understanding and alternate between formal and informal language. Generally, the team should attempt to socialize more e.g. through social networking sites, online games e.t.c (Grazier, 2004).

To promote development of a good team spirit. It should also be conscious of each other’s differences to avoid conflicts arising from misunderstanding or ignorance of cultural practices. Finally, the team leader should acquire the necessary skills to run a multicultural group such as tolerance, listening, understanding, empathy and persuasion. With the above in consideration, virtual teams are just as good as collocated ones if not better.

  • Identification of new markets in the surrounding areas where the company can profitably venture into;
  • Provision of information regarding how the product can be developed to suit the market concerned to enable improvement in the quality of the product (Kumar and Phrommathed, 2005, p 11);
  • Oversee the distribution of the product in the country concerned;
  • Oversee the working of the product in the country concerned;
  • Liaising with the distributors of the product to identify specific areas that need improvement. This is mainly about the product and the logistics involved in the distribution of the product in the country concerned;
  • The team member should provide information regarding the viability of the production of the product in China. He should, therefore, collaborate with the other personnel in China and research the development of the product in the country concerned. The research information should be detailed and will provide vital information to the management to facilitate the production of the product in China.

  • Researching the areas where the product needs to be altered to suit consumer expectations;
  • Oversee the distribution of the product in the United States and the surrounding regions;

  • Coordinate with other departments to stimulate the demand for the product.

Virtual and Traditional Teams Comparison

Five stages of group development (forming, storming, norming, performing, adjourning)

In traditional teams, the forming stage on the understanding of group goals and procedures for performing group tasks. In essence, the group focuses mainly on its basic purpose, structure, and leadership, among others. Members are required to know their roles in the team as well as recognize other members’ feelings in the team. In addition, members are required to solve the issue of leadership in the group. However, in virtual teams, individuals are separated by physical distance (Nair, 2010).

ICT (Information and Communication Technology) tools are used to mediate the members of a virtual team. At this stage, there is a need for familiarization with the roles of each member of the team. However, the structure of the team is based on a flatter organization structure in which hierarchies and authorities are not as clearly defined as in traditional teams. In fact, leaders in virtual teams delegate most of their duties to team members as opposed to traditional teams (Aswathappa, 2010).

The storming stage in traditional teams occurs when intra-group conflicts arise because of hostility to constraints that may be imposed on the group. The teams need to have effective mechanisms of resolving such conflicts to be able to move to the next stage of development. In most cases, the conflict focuses on the delegation of duties, priorities of goals, and directions of the leader (Nair, 2010). This stage provides a clear picture of leadership in the group. In virtual teams, conflicts are usually focused on job-related talks about efficacy. In this regard, activities such as team building that work in a traditional set up would not be used in virtual teams. Instead, this stage requires virtual teams to emphasize on resolving task-related conflicts without extending to personal conflicts that may divert attention (Aswathappa, 2010).

In traditional teams, the norming stage brings about group cohesiveness and a close relationship. This results in a willingness to share and accept information. Moreover, the members are willing to compromise on decisions. This results in a shared responsibility as well as cooperation among the group members (Nair, 2010). For virtual teams, reaching the norming stage is vital. Once this stage has been achieved, the team can use its vast network of information to solidify its group structure and enhance cooperation (Aswathappa, 2010).

At the performing stage, the group structure in a traditional team is operational. In addition, all members usually accept the group structure at this stage. Each member at this stage recognizes his or her role in the group. Moreover, the members understand when they can work together or as individuals (Nair, 2010). This is slightly similar to virtual teams because members can work together in accordance with their assigned roles.

Moreover, the members can communicate effectively through virtual platforms to improve cooperation within the group. However, there is a difference in how the members can work together due to the geographical gap between them. Communication should be coordinated to ensure effective cooperation between virtual members. It should be noted that for permanent virtual teams, the performance stage usually becomes the last stage of development (Aswathappa, 2010).

The adjourning stage is usually required for traditional teams that work temporarily. These traditional teams may include task forces or committees, among others. At this stage, winding up activities are utilized to disband the group (Nair, 2010). Similarly, this stage can also be utilized in virtual teams if they are tasked with specific objectives that are temporary in nature. For instance, virtual teams tasked with the responsibilities of building an application would work for some time and would disband when the application is operational or obsolete (Aswathappa, 2010).

Virtual teams

Group cohesiveness refers to the degree to which group members like to be together. Moreover, it encompasses the extent of the closeness of the members. Cohesiveness, therefore, determines each member’s commitment to the group. Compatibility between an individual and group goals is essential in defining group cohesiveness. Group cohesiveness is very essential in determining team performance and productivity.

Low cohesiveness can greatly affect traditional teams (Aswathappa, 2010). On the other hand, high cohesiveness can improve cooperation between individual members of a traditional team. Therefore, cohesiveness is a very important factor in determining the productivity of a given team. For instance, a football team can gain substantially from high cohesiveness than a departmental team. Low cohesiveness can affect cooperation between members of the group. Nonetheless, groupthink can also interfere with the potential result of group cohesiveness. Groupthink can easily result in poor decision making when ineffective team decisions are agreed upon (Nair, 2010).

Based on the description of groupthink and its relation to cohesiveness, it is worth noting that virtual teams would be less cohesive than traditional teams. Virtual team members use ICT platforms, which are limited in their ability to produce a good interpersonal relationship between members. In fact, traditional teams tend to be more cohesive than virtual teams. For instance, football teams that have high cohesiveness tend to win more games than those that have low cohesiveness.

Traditional teams have better opportunities for promoting cohesiveness than virtual teams because they offer face-to-face interactions; this provides more insight into individual feelings than in virtual platforms (Wellington, 2012). However, it should also be noted that traditional teams are more culpable to groupthink than virtual teams. Virtual teams focus their attention on the tasks of the group than their interpersonal relations. On the other hand, traditional teams emphasize interpersonal relations that can result in groupthink (Sadri & Condia, 2012).

Virtual teams vs traditional teams

The virtual teams will perform better than traditional teams. However, this performance depends mainly on the type of goals intended for the team. If the goals require high cohesiveness, then traditional teams will outperform virtual teams. On the other hand, if high cohesiveness does not play a big role in the team, then virtual teams would always outperform traditional teams (Wellington, 2012). It should also be noted that where high cohesiveness is required, traditional teams would be vulnerable to groupthink. In this regard, traditional teams would only outperform virtual teams if the group guards on groupthink (Ferrazzi, 2012).

However, if all factors are managed, virtual teams have the capacity to outdo traditional teams. Virtual teams bring together skilled individuals from various parts of the world. These individuals have the expertise to achieve group goals; this gives them a better platform than traditional teams. Moreover, if the productivity of the group focuses on cost-effectiveness, then virtual teams would provide better results than traditional teams because of their ability to save time and resources (Narain, 2014).

In a global stage where technology is integrated into modern organizational management techniques, virtual teams have the capacity to improve further in achieving their goals than traditional teams. However, virtual teams should put their processes in place, communicate effectively, and focus conflicts on tasks to outperform traditional teams.

Evaluation of Virtual Team: Lions Share INC

During the past six weeks, my team was running a virtual company within the Marketplace simulation. It was a stimulating experience, which helped me to acquire a diverse set of learning objectives. They include but are not limited to the following: the understanding and employment of individual’s strengths in team-building, defining developmental needs of the company, overcoming the challenges of virtual team decision-making, etc. Based on this information, this paper aims to evaluate the overall quality of conducted work, employing the principles of integrative thinking and reflection.

Evaluation of the Team Work

Team’s Efficiency

First of all, it is essential to state that my virtual team, Lions Share, Inc., has shown significantly efficient work during the simulation. For example, as it was noted in the previous paper, the company’s brands, operating in three different markets, managed to be in the top-5 of every market. It is possible to state that the reason for such efficient work is the profound understanding of the principles of teamwork by each member of Lions Share, Inc., which is acquired during the seminars and workshops (Cadle, Paul, & Turner, 2014). The team has put significant efforts into building the company and running it by high standards.

The Employment of Virtual Team Principles

Further, it should be mentioned that our team has overcome various problems due to the adequate distribution of team roles and following them correctly. When setting a virtual unit, every member must understand his or her responsibilities because a virtual company only succeeds from coherent and harmonious work. In particular, it should be observed that using the four-step framework of developing a business model, provided by Riel and Martin (2014), significantly benefited the company’s success. Other theories, which were used to build our team, were Thomas–Kilmann Conflict Mode Instrument, described by Trainer (2010), and the five-stage process, including “forming, storming, norming, performing, and adjourning” (Tuckman & Jensen, 1997, p. 420). They helped our team significantly with problem-solving.

Team Development

Another important aspect of any successful company is proper team development. It includes setting visible and achievable goals as well as fixing emerging problems. Employing the Career Assessment instrument, I was able to determine my role and value for the company, which helped me to realize my responsibilities and goals efficiently. However, as I identified my excessive friendliness, which was negatively interfering with the teamwork, I employed the six-step model of problem-solving to figure out meaningful conclusions for further improvement (Trainer, 2010). The other team members were also helping me.

Integration of Gathered Knowledge

Even though our team successfully performed throughout the simulation process, it should be noted that there is always room for improvement. For example, it is apparent that the introduction of the Lanza 1 and Lanza 2 models in the market was not planned thoroughly, and thus it resulted in the low profitability rates of these brands (Gaspar, Coric, & Mabic, 2015). However, this experience could be integrated into further projects that I will implement as an individual entrepreneur or in collaboration with the team. Also, as far as this simulation continues, our team will strive to apply the acquired knowledge in the working process.

Conclusion

In conclusion, it should be restated that the Marketplace simulation is a highly beneficial experience for each member of our teams. This paper has observed the principal aspects of our company’s success along with the discussion of the employed principles and frameworks. Overall, the experience in decision-making and team-building is the primary outcome of the simulation.

Virtual Teams and Their Effect on the Workplace

Human resources management has undergone some drastic changes in terms of team communication and cooperation. A few years ago, face-to-face interaction in a team was regarded as the most effective and productive way. Nowadays, however, with the ongoing development of globalization, virtual teams have become a widespread means of communication worldwide. The progress in technology development has also led to a greater possibility of virtual team management. The purpose of this paper is to define the critical points of the general shift to the virtual team management as well as to find out its impact on the workplace.

The latest achievements in the sphere of technology give managers a lot of opportunities on how to manage various types of project teams. Previously, finding team members, who are at least co-located geographically, was of crucial importance. Today, it is the quality and flexibility that outweigh other factors. Most teams dedicated to a project are nowadays distributed across the globe, and the views on such type of cooperation differ significantly. While some claim this approach to be beneficial because of its flexibility, others think that the spirit of collaborative work is completely lost due to the absence of face-to-face communication between team members. The supporters of the latter opinion are also afraid that geographical distribution has a negative impact on the workplace and quality in general.

Like every system of cooperation inside the project, virtual teams have their benefits and drawbacks. On the one hand, such groups are very flexible because they have to establish an agile framework due to the constant risk and lack of stability. The other positive aspect of virtual teams is the high probability of finding the right vendor because, quite often, professionals that are located nearby are already involved in a lot of projects. On the other hand, however, the negative aspects of virtual teams are as evident as the positive ones. First of all, creating a team distributed geographically is a considerable responsibility for a manager. Managers in these situations serve as binders between all the members, so they have to establish both formal and informal channels of communication properly. Secondly, the general atmosphere in a team should be equally appropriate for everyone, regardless of cultures or time zones.

As it was mentioned above, the central part of responsibility regarding communication in a virtual team depends on the project manager or any team leader. First of all, to train employees on how to adapt to new software or communication channel, the manager should get expertise in it as well. Secondly, leaders have to realize that the virtual teams differ significantly from the co-located ones, and hence, the follow-up of the workers should be explicit and frequent. The beginning of the project is crucial for the general workflow because team members can naturally have a lot of questions concerning team and work structure, and a manager cannot leave them unanswered. Last but not least, team leaders should realize that the most crucial drawback of virtual cooperation – the absence of face-to-face meetings – should be replaced by other types of communication. Even the most prolific team can fail due to not being on the same wavelength with each other and the management.

Conclusion

The general shift to virtual communication between workers has become a significant achievement in the management sphere. Being a revolutionary cooperation framework, the virtual team structure still causes a lot of misunderstandings concerning its correct usage. However complex the system may seem, there are a lot of communication channels and even Intranets nowadays that allow managers to establish a bond between employees all over the world. Furthermore, the global concern on how to create proper information flow inside the virtual team has also helped improve team communication even in co-located structures. So, while still having some drawbacks, virtual teams should not influence the general workplace and quality when used wisely.

Virtual Teams: Advantages and Disadvantages

A virtual team can be defined as a group of people who share a common goal and function through related tasks with the help of communication technologies. For the best possible organization of activities, virtual teams use audio and video conferences, chats, calls, voice messages, emails, and portals to disseminate information. Virtual teams open up new opportunities for project implementation as they break down the boundaries of geographical restrictions. This way of organizing work reduces the cost of arranging the employee’s workplace, the participants have more independence, generate more ideas, and simplify the reporting process. Despite the pros, virtual teams have significant disadvantages: the risks of miscommunication, a high probability of conflicts, loss of a sense of teamwork, and low motivation. One of the major threats is information overload, and a virtual team needs good management to avoid it.

Barrier to Productive Work

Any team has the potential to become dysfunctional if it lacks trust, fears conflict, lacks commitment, avoids accountability, and neglects common goals. The ‘five team dysfunction’ model was first described by Patrick Lencioni, and each of the criteria is critical to successful functioning (Beerel, 2021). One of the biggest obstacles to productive work is the avoidance of accountability by team members. In virtual teams, it is very easy to lose communication between employees, and the team risks losing dialogue, avoiding conversations about achieving overall efficiency (Morrison-Smith & Ruiz, 2020). Avoiding personal accountability is the most important challenge since, in this case, the possibility of teamwork is lost. Irresponsible employees tend to shift their work to other team members and are unable to complete tasks on their own, which threatens the success of the entire project. In remote teams, self-responsibility is especially important, as employees are deprived of a full sense of team cohesion.

Avoiding Information Overload

Information overload is common in the age of digitalization, and virtual teams are especially prone to it. Firstly, it is important to avoid increased multitasking by a competent distribution of roles in the team. With a clear distribution of tasks, remote employees to cope with overload, clearly understand their role in the team, and concentrate on one task (Catinella & Esparza, 2021). There is a need for a well-organized online space where each employee can access the information of interest, and all employees should be able to present their thoughts in a visual form, sharing experiences and opinions. The psychological component of working in an online team of a large number of participants is also important to avoid information overload. Employees should be encouraged to use the principle of digital minimalism, in which all electronic information is quickly accessible due to the correct organization of storage. Team members must properly organize their workplaces not to be distracted by non-work-related tasks.

Conclusion

Virtual teams are an effective way to deliver a project, avoiding additional costs. However, remote workers face certain difficulties in their work caused by the lack of live communication between the team members. One of these difficulties is the avoidance of personal accountability, associated with a lack of understanding of the role in the team. Another challenge can be information overload caused by multitasking and lack of information filtering. A good leader must help remote workers overcome these challenges in order to achieve collaborative and effective teamwork.

Whenever group members cannot meet their coworkers face to face and do not have the social contacts that help create relationships and rapport, it becomes challenging to complete tasks. Virtual teams are based on the idea that all participants will continue to participate in the same way as they would in a physical meeting. However, members tend to unwind and use numerous apps on their devices while participating in a virtual chat. In most cases, organizations find it challenging to measure personnel effectiveness. The difficulty in predicting team performance is due to the intricate linkages between the layers of causal dynamics (Zaharie, 2021). Essentially, since each member has a variety of choices for severing communication or online presence, they can do it whenever convenient for them without employers’ knowledge. Generally, when teammates members fail to commit, they are hesitant to call out their peers’ misdeeds regarding the meaningful conversation, further altering accountability.

Members must keep everything basic, relevant, and easy to understand to avoid information overload. Virtual teams must experience well-being to be sustainable, which contributes to team performance (González-Anta, Orengo, Zornoza, Peñarroja, & Gamero, 2021). Online training is an excellent way to improve staff wellness. Additionally, digitalization of the processes and provision of necessary resources could improve the effectiveness. When it comes to productive dialogue, members should be able to call out their colleagues’ transgressions. As a result, other players must express their concerns and call out errant teammates. Generally, if done correctly under the direction of the team leader, such members can become cooperative and helpful.

In brief, avoiding accountability is one of the dysfunctions that substantially impact virtual team productivity. The problem in projecting team success stems from the difficulties in remotely tracking their job commitment. The efficiency of operations could be improved by digitizing them and providing the required resources. Firms that want to build long-term virtual teams should consider providing practical handling training to their employees.
