Active Listening As The Component Of Effective Communication

Effective listening is the only surest way of ensuring a successful communication process. Effective listening is of great importance in professional institutions mostly the business firms as they rely on the information provided to improve on their service delivery. This essay makes description on the process of active listening and its positive impact on professional institutions.

Active listening involves a series of stages which make it successful. Hearing is the first stage and involves making a response to the stimulus which in turn makes the brain cells to be attentive to the stimulus (Berger, 2008). Evaluation comes second and involves the listener trying to assess the received message. After successful assessment, the listener responds and this completes the process of active listening. Effective listening ensures successful communication which is essential in the world of business.

It is through effective listening that a business is able to gather facts that are essential in making of decisions that affect the business. The feedbacks and complaints obtained from the customers are tools which are used for improvements (Braithwaite, 2008). It also provides an effective way of solving issues between the workers and the customers and workers themselves thus promoting smooth running of the firm. Similarly, it boosts trusts and inspires customers as they will feel well attended to and thus satisfied.

There is therefore need to strive and be an effective listener. Non-verbal cues indicate a lot about someone’s thoughts on the subject in question (Braithwaite, 2008). The facial expressions and the general body language should not discourage the person you are conversing with. Maintain eye contact and listen closely. In addition, interject cautiously and let the speaker express their opinions clearly without interruption. The listener should also avoid prejudice and pre-supposing what the speaker is about to say.

Occasionally, the listener gets challenges from the surrounding that hinder effective communication. Multi-tasking is the biggest barrier that listeners face (Braithwaite, 2008). It usually occurs when the listener tries to listen to multiple conversations but ends up responding to none. Electronic devices like televisions and use of phones at the workplace are the greatest distractors. Prejudice is another barrier as the listener develops bias based on some past experience and assumes they already know that the speaker is about to say.

Despite the barriers, the human resource managers have always encouraged constructive feedback for higher performance of the firms. The feedback culture has boosted the employees’ productivity as they are free to interact with the managers and sharing their worries (Roebuck, 2012). This has made them feel valued as they get involved in the making of the decisions on issues that affect them. It also ensures smooth management of the firm as managers find it easier to communicate with the workers due to honesty.

Having acquired all the necessary effective listening skills, I will be attentive to the customers’ complaints, giving attention to each of them at a time and try to avoid any kind of distractions from the electronic devices and the surrounding. I will also try to explain to them the reason for the delay in the delivery. Due to the honesty within the organization, I would be open to my supervisor and raise the concerns given by the customers on late delivery and delivery of damaged goods as this feedback will be used to improve the company’s services.

Effective Communication: Self-Reflective Essay On The Skills Learned During The Course

Write a self-reflective essay on the skills learned during the course of your STW 201CS- Effective Communication Skills program. Include any strengths, weaknesses, and personal areas of development.

In this reflective essay as a template for this assignment I am using Gibbs Reflective Cycle. Every person interaction varies how they interact with other people. This is a expressing adverse reflection on the importance of self-awareness and personal development. In other term it is a detail inspection from their own behaviors of one’s outlook on life.

By examining myself and friends’ feedback to me to become aware of myself. Conscious of my privileges, perceptions, prejudices, beliefs, core values and behaviors. Aware of blind spots, my strengths and weaknesses. I have learned many things throughout the semester. I can say effective communication is about understanding the intentions and emotion behind the information, we also need to listen and gain full meaning of what others say or convey to us and make them feel that we are hearing them and also understanding them. Yes, it is about more than exchanging information.

Effective communication sounds like it is done without conscious thought, but many times when we try to communicate to people something goes away from the correct path. People have different perspectives and maybe misunderstand us or have frustration, there might be conflict. This can cause us difficulty at work, relationship or college.

For us communication skills can intensify our connection with others, improve team work, our overall emotional and social health, problem solving and build significant respect and trust. So, we need learning skills to improve communication with our sir, friends and family.

Weaknesses

My first interpretation is I usually get tense and overburdened when there is assignment or any types of workload. I usually avoid taking risky or even related activities. Yes, it is not good characteristic as an aim to be IT manager in future. I should always be ready to take risk and deal with it. My behavior changes with a people around me when sometimes things do not work out properly. Because a leader should have ability to tackle and manage tough situation instead, I get hyperactive, which is not good characteristic of my personality.

Common barriers that stops me from communicating effectively:

Lack of Focus: We need to stay focused and avoid distractions. I easily get distracted. When we are multitasking, we can’t communicate effectively. If we are checking Facebook, we are likely to miss some clues in conversation.

Out of control emotion and stress: We can learn how to rapidly calm down before continuing a conversation to avoid misunderstanding and conflicts. When I am emotionally overwhelmed or stressed out, I am likely to misread another person.

Negative body language: tapping my feet, crossing my arm or avoiding eye contact are my negative body language. If I disagree with somebody’s saying I usually use these body languages. Avoiding sending negative signal is important.

Inconsistent body language: My body language mostly doesn’t match what I am saying. Our listener can feel like we are being dishonest with them.

Strengths

My strength actually is my special skills. I think they are gift to me. Everybody has some special skills. I have many skills one of them is athletic. I love sports weather I’m playing them or watching them. I always know what I want and I try my hardest to get it. I can also say myself as very hard working and very determined person. Currently my strength includes my passion and honesty toward my work. I am always confident and positive regarding my targets and aims. I can take quick decision and right or good decision among all of above. Along with these, I can motivate group of people and do team work. If I make target I work day and night and I achieve my goal since I am responsible person.

Personal Areas of Development

Looking back to everything that I have learned in effective communication. I knew that I have some personal areas to be developed. I am not kind of listener person. I have poor body language. I am not engaged listener.

Here are some areas that I will be developing:

Focusing fully on the speaker: We can’t listen consistently to anyone for long time. My main distraction here is phone. We need to be focused on the moment to really pick up fine details and important clue in conversation. We can try repeating the speakers or influencers word to stay focused if we find hard to concentrate.

Spiritual Development: Spirituality plays vital role whether you follow religion or not. Truth be told, Religion and spirituality are actually two altogether different things and we can be spiritual without being even the slightest bit religious. When I work on improving my spirituality, I am making deeper connection with the world around me. This help me learn more about myself and it can help me in other area of personal development.

Conclusion

Personal development refers to a set of exercise that one can participate for the propose of enhancing identity and self-knowledge. It includes ability and potential advancement, working of human capital just as employability, improving the quality of life, and last but not least playing a role towards the realization of aspirations and dreams.

What Are the Qualities of Strong and Healthy Relationships: Informative Essay

Exactly what ensures a strong and healthy relationship differs from one pair to another. Developing reliable and equally supportive cooperation requires effort and time. And unfortunately, this is not done overnight. For each type of association to become strong and solid, you have to work. In this essay, I want to focus on the qualities of strong interpersonal relationships and some of the behaviors that help produce and maintain them.

The interaction is crucial. This is one of the most important properties of a strong and healthy relationship. However, not everyone knows how to connect effectively, and even connect in one way or another. They speak and often say ‘I love you’ and praise them. They also check the bad things instead of sweeping the problems under the carpet. To go further and develop, you must have the ability to really talk about your feelings. It does not matter if you feel uncomfortable, you will create a lasting and satisfying bond.

Maintaining a strong relationship means respecting a partner’s time, heart, character, and trust. People do a lot of things in abusive relationships, such as insults, talking badly to good friends or family members about other people, and/or intimidating them to leave their relationship. People just need to enjoy that their partner can be found in many types.

The rule that quality time comes first, not quantity, is also critical to maintaining a strong relationship. It doesn’t matter how much time you spend with your significant other, the most important thing is the high quality of it. There is a big difference between dining at a table while you talk about your workday, instead of having dinner sitting on a couch watching the latest episode of The Voice. It is good to disconnect together and enjoy the distraction, but it is essential to make sure that you are always involved and that you are investing quality time together to maintain a deep connection.

Spending time with your partner is very important. It is equally important to keep the time separate. It is crucial to be able to do one’s own things and stay independent. When couples spend too much time together, they may develop unwanted co-dependency. Maintaining healthy and balanced boundaries and a degree of autonomy will undoubtedly lead to close cooperation.

Gary Chapman proposed the concept that men and women have five languages of love. People have unique ways to feel comfortable. There are words of confirmation, obtaining gifts, quality time, acts of service, and also physical contact. Strong relationships are characterized by the fact that partners know which languages of love are characteristic of them and ‘speak’ them.

Often, we don’t remember that other people in our lives have realized that we appreciate them. We think about it, but we don’t intend to show it. This is what happens in our romantic relationships. Being able to show your special someone that you love him is very important. This can be done with words, cards, flowers, acts of kindness, etc. We should remember that the flower continues to fight every day.

Another feature of a strong and healthy relationship is the ability of partners not to focus on the negative. We all sometimes fall into the trap of negativity. We hate our jobs, we’re disappointed in our friends, and our significant other can sometimes get on our nerves. It is very important to study the positive qualities of our partner, not the negative ones. No one is perfect, and this equally applies to our significant other. So, instead of focusing on the negatives, we should take the initiative to look at the positives.

There are disputes in any relationship, even the strongest. However, what gives preference to the latter is that the partners can pay attention to them correctly and in a timely manner and overcome them together. For example, I don’t think discussing the problem over your favorite cup of coffee should be part of it. Choose your battles wisely, because people with enchanted but also healthy and balanced associations do so.

And the last quality of a strong and healthy relationship is the absence of comparisons. The grass is not always greener there. In general, we compare our lives with those of others: exactly what people do, their homes, and their clothes. And with the help of social networking sites, we also tend to compare our relationships. But happier couples do not pretend to see what else’s grass looks like. Enjoy the view from your own door.

In conclusion, strong and healthy relationships are what everyone strives for. Respect, acceptance, and trust are the main things that shape them. And although their creation and maintenance require considerable effort and time, the result – a feeling of love and complete happiness – is worth it.

The Correlation of Communication and Leadership

There’s no denying that Donald Trump is unlike any President in history. It is literally unbelievable that despite all the corruption charges and even an impeachment charge to boot, Trump demands complete fealty! It has now come to a point where to cross him is to risk one’s own future in the Republican Party. His support base remains largely intact – such is Trump’s compelling power and sway over them that it seems almost impossible to come in between him and his base. How has he managed to achieve this? As we look closer, it becomes apparent that his unconventional style of communication is at the heart of this success. No other President has come even close to realizing the sheer power of unfiltered access to the public through social media. This is a far cry from the polished manicured PR communication typically through the traditional press conferences and televised presidential speeches that we are used to. What we have instead is a Twitter-savvy President whose direct-to-public communication strategy has resulted in declining media’s influence and making journalists increasingly irrelevant. Twitter has in fact given the President the opportunity to connect personally with his base, express his opinions and decry his opponents at all times and all rolled in one platform. In fact, he managed to literally brought America to the brink of war and back just a few days ago…on Twitter! It is no wonder then that this hyper-connectivity and always-on presence has helped him to constantly assert his influence and in fact create an alternative news sphere entirely.

Like it or hate it, Trump can sure teach us a thing or two about the power of effective communication as the world shifts to a new paradigm of communication. It’s fascinating to watch him brush aside his impeachment charges, among many others, as “fake news” and hypnotize the nation with his Twitter rants and speeches. The simple fact is that Trump is a powerful story-teller and hooks in his supporters through his narratives, even if they can be ridiculous to an extent! It shows us that the most important thing is not the tone or the way in which the message is shared but rather how it connects with your audience. This is particularly interesting because it’s something that most company leaders struggle with.

History has long since been strewn with high flying CEOs whose careers have been brought down by a poorly led communication strategy. The last year especially has not been very kind to the US tech giants. For the first time, Google and Facebook are no longer among the 10 best places to work in the US according to the latest ranking by Glassdoor, with their CEOs have been embroiled in various controversies and scandals. Who would have thought that Google, who had long since prided itself on an open culture where employees could speak their mind, would make a startling culture shift away from upfront communication as it attempts to curb growing employee activism?

In stark contrast, one of the first moves that Satya Nadella made after he took over as CEO of Microsoft in 2014 was to request his executive team to read Marshall Rosenberg’s ‘Nonviolent Communication, in an effort to change the company’s cut-throat culture. It signaled a major shift for Microsoft back then as Nadella focussed on rebuilding the company through compassion and effective communication. It might not sound like a radical move, but it has worked and how One of the main tools Nadella used to successfully to transform the company’s communication strategy was the use of Yammer, the enterprise version of Facebook social work. By facilitating open conversations hosted on Yammer, Nadella helped Microsoft move away from silos, enabling employees across all generations and levels at the company, including the C-suite to interact and have constructive conversations with each other. It was a great way to build commitment and trust in his vision of transforming Microsoft and Nadella was eventually able to redirect the focus on teamwork, collaboration and above all, results. It is indeed a far cry from the toxic culture characterized by competing factions and internal antagonism that prevailed under his predecessor, Steve Ballmer’s reign.

Another case in point is Amazon’s Jeff Bezos who recognized early on that effective communication was not just a “soft skill” but rather a mandate. Bezos has even banned PowerPoints at executive meetings and instead prefers full narratives being read around the table! His rationale? It gives the presenter a chance to fully communicate the thoughts and ideas behind their concepts. Bezos even has a reputation of being a powerful storyteller – his communication skills is the key factor in ensuring that his objectives and vision are well understood and worth being pursued by employees and customers alike.

Which brings us back to this question – what can we learn from these examples when it comes to our own leadership? Do we put forward our objectives clear enough to be understood across the company right down to the junior-most employee? How do we drive home the most important points to our employees, customers, and partners? It’s all about striking the right balance between gaining support by finding mutuality and collaborating with others – even those who we may fundamentally disagree with. This is indeed a necessary tenant of effective communication, and ultimately leadership. At the end of the day it’s the people that make a difference – be it your employees or stakeholders and other supporters – and making sure that they are involved through the journey and on the same path towards a common vision. 2020 will be the decade when leadership and employee communication will be the game-changer for companies and it will be interesting to see which brands will evolve – and those that lag behind – as we enter a new era rife with opportunities!
